BACKGROUND:
In February 2016, the Department of General Services and the Office of Facilities Development were combined to create the Facilities & Environmental Services Department (FES). Legacy quarterly reports previously provided by those groups - in the form of extensive updates on capital projects and brief updates on environmental programs - have continued unchanged.  There has been no forum for Board updates on many significant initiatives managed by the Department’s three divisions: Public Works, Environmental Services, and Facilities Planning & Construction. FES has developing a consolidated format for reporting to the Board, in order to maximize the effort of staff and to provide the Board with a more comprehensive summary of the department’s activities.

STRATEGIC PLAN: Quality Government Operations: Ensure County government’s capacity to provide high quality service that achieves community priorities

DISCUSSION:
The new department report includes narrative reports on capital projects, programs and major operational initiatives. A special section of updates on Strategic Plan initiatives led by the department will be included in each report.  The department has recently developed a database to help with management and reporting of capital projects and has used this tool to provide a modified version of the historical capital projects update.  Each project now includes a tag to identify the magisterial district(s) in which the project occurs, enabling a separate project summary sorted by district.  The department hopes that the Board will find the new report reader-friendly, topical and timely, and welcomes the Board’s input for future improvements.

BUDGET IMPACT: There is no budgetary impact to this change in reporting mechanisms.
