BACKGROUND: Virginia Code Section 15.2-1229 provides that the County may adopt a resolution to establish petty cash funds not exceeding $5,000 each to be used to transact daily County business. Petty cash includes petty cash funds (a small amount of bills and coins to pay for minor expenditures) and change funds (a set amount of money used by a department to make change for customers). The most recent petty cash/change fund resolution was approved by the Board of Supervisors on November 1, 2017.
STRATEGIC PLAN: Mission - To enhance the well-being and quality of life for all community members through the provision of the highest level of public service consistent with the prudent use of public funds.
DISCUSSION:
The Board of Supervisors last established petty cash funds by a Resolution adopted on November 1, 2017. Updates to the prior resolution are as follows:
The Department of Fire/Rescue no longer needs a change fund and has returned the $150.
The Department of Community Development no longer needs a change fund and has returned the $100.
The Department of Finance & Budget has reduced its change fund from $4,350 to $4,300, due to the elimination of a change fund from the Office of Real Estate.
The Department of Parks and Recreation change fund is increased from $100 to $700 to fund change boxes used by the three lakes during the summer.
The Office of Housing requests a $3,000 petty cash fund to support the Moving Home Grant Program, to be used to secure housing in situations where funds are needed immediately, and P-Cards are not accepted.
BUDGET IMPACT: There is no budgetary impact.
